At ROOMFID we value and respect the privacy of our customers and visitors. This Privacy Policy describes how we collect, use, disclose and protect the personal information we obtain through our website, our services and related activities, in accordance with Regulation (EU) 2016/679 (GDPR) and Spanish Organic Act 3/2018 on data protection (LOPDGDD). 2. Information we collect

We collect personal information when you provide it to us voluntarily while using our services — for example, by filling in contact forms, subscribing to newsletters or requesting a simulation. This may include your name, organisation, role, email address, telephone number, information about your supply room and the content of your message.

We may also automatically collect certain non-personal information when you visit our website, such as your device's IP address, the type of browser you use, your preferred language, the date and time of access, and the links you click. This is covered by our Cookie Policy.

3. How we use the information

To answer your enquiry or request for a personalised simulation.

To manage and maintain our commercial relationship and contact with you.

To send you communications related to the services you have requested, where you have given your prior consent.

To comply with any applicable legal obligations.

Information collected automatically is used to analyse trends, administer the website, improve our services and obtain general statistics for internal use.

4. Legal basis

The consent of the data subject, given when completing and submitting the form and accepting this Privacy Policy (article 6.1.a GDPR).

The legitimate interest of ROOMFID in responding to the requests it receives and developing its commercial relationships (article 6.1.f GDPR).

The taking of steps at the request of the data subject prior to entering into a contract (article 6.1.b GDPR), where applicable.

5. How long we keep it

We keep your data for as long as the relationship or your interest in our services continues and you do not ask us to delete it. Once the relationship ends, the data is blocked for the periods required by law so that we can respond to any liabilities, and is then deleted.

6. Disclosure to third parties

ROOMFID does not sell, rent or share your personal information with third parties without your consent, except as described in this Privacy Policy or where required by law.

We may share your personal information with trusted service providers who help us run the website and deliver our services — for example, hosting, email or commercial management. These providers act as data processors, are contractually bound to keep your information confidential under article 28 of the GDPR, and may only use it as far as is necessary to perform their duties.

Where you consent to analytics cookies, Google Ireland Limited processes browsing data as a data processor, on the terms set out in the Cookie Policy.

We may also disclose your personal information where we believe in good faith that doing so is necessary to comply with a legal obligation, protect our rights or investigate possible fraudulent activity.

7. Your rights

You may at any time exercise your rights of access, rectification, erasure, objection, restriction of processing and data portability, and withdraw any consent you have given.

To do so, write to info@roomfid.com stating which right you wish to exercise and attaching, where necessary, a document proving your identity.

If you believe your data has not been processed in accordance with the law, you have the right to lodge a complaint with the Spanish Data Protection Agency (www.aepd.es).

8. How we protect your information

We apply appropriate technical and organisational security measures to protect your personal information against loss, misuse, unauthorised access, disclosure, alteration or destruction.

You should be aware, however, that no system for transmitting data over the internet or storing it electronically can guarantee absolute security. Although we take every care to protect your information, we cannot guarantee the complete security of the data you send us, and you do so at your own risk.

ROOMFID reserves the right to modify this Privacy Policy to adapt it to new legislation or to changes in its practices. Any changes will be published on this website, and users are advised to review this policy periodically.
